Common reasons Circleback can't join a meeting and how to fix them

If Circleback isn't joining your meeting, here are the most common reasons and how to fix them.

If Circleback can't join, you can always capture the meeting with the desktop app instead, or try again by adding Circleback manually with the meeting link.

The host hasn't admitted Circleback

On some platforms, Circleback needs to be admitted from the waiting room like any other participant. If the waiting room timeout is exceeded before the host admits Circleback, it won't be able to join.

The meeting requires authentication or registration

Some meeting settings prevent guests like Circleback from joining.

Zoom

  • Disable Only authenticated users can join meetings (instructions)

  • Disable Registration Required for webinars (instructions)

Google Meet

  • Enable Anyone with the meeting link can ask to join in the host controls (instructions)

  • If you're a Google Workspace admin, select All users (including users not signed in with a Google account) from Apps β†’ Google Workspace β†’ Google Meet β†’ Meet safety settings (instructions)

The meeting doesn't allow external participants

Some organizations restrict meetings to internal participants only.

Google Meet

The organizer can enable Anyone with the meeting link can ask to join on the Google Calendar invite, or a Workspace admin can change this globally from Meet safety settings.

The meeting password is incorrect

If the meeting link in your calendar event includes a password, make sure it's up to date. If the host changed the password after sending the invite, Circleback won't be able to join with the old one.
